The Role
We are seeking an organised, proactive, and people-focused Crew Coordinator to join our busy Live Events Projects Team. This pivotal role supports Project Managers in the day-to-day planning of event operations, with a primary focus on scheduling, coordinating, and managing freelance crew.
You will be the key point of contact for freelancers, ensuring they are briefed, scheduled, and supported to deliver world-class events. The role requires excellent communication, strong administrative skills, and the ability to multitask in a fast-paced environment.
This is a predominantly office-based role, Monday to Friday, with occasional flexibility required to support project needs during peak periods.
Key Responsibilities
Crew Scheduling & Coordination
- Allocate freelance crew to projects in collaboration with Project Managers.
- Own and maintain the freelancer database, ensuring records are current and accurate.
- Manage the onboarding of new freelancers, ensuring compliance with company standards.
- Ensure all freelance engagements comply with IR35 legislation.
- Communicate crew requirements, schedules, and project details clearly via phone and email.
Logistics & Administration
- Raise purchase orders for crew and suppliers in accordance with company procedures.
- Arrange crew transport, travel logistics, and accommodation where required.
- Manage crew accreditation and access for relevant events and venues.
- Build strong, positive relationships with external crewing companies, managing logistics, POs, and communications between them and Project Managers.
Project Support & Documentation
- Assist Project Managers with the preparation of project documentation, including risk assessments, H&S documents, and sustainability compliance.
- Lead the coordination and upkeep of project management platforms, particularly Monday.com.
- Support the team in using rental management software (HireTrack), maintaining up-to-date knowledge and helping train others as needed.
Team Support & Office Duties
- Answer phones, greet visitors, and support general office operations as required.
- Work collaboratively across departments to ensure smooth communication, strong teamwork, and a positive working environment.
Skills, Experience & Personal Qualities

The Role
As a Project Manager within Delta Live’s Events Team, you will take responsibility for the planning and delivery of large-scale live event projects from initial concept through to successful completion. You will work closely with clients, production partners, and internal teams to design, plan, and execute technically complex and creative live events that reflect Delta Live’s standards of quality, safety, and innovation.
This is a highly visible, hands-on role that combines production management expertise with strong organisational and leadership skills. You will manage budgets, schedules, and logistics, ensuring each project is delivered on time, within budget, and to the highest professional standard. The role involves direct client liaison, detailed project documentation, and on-site technical coordination, ensuring seamless execution across all stages of production.
You will be expected to lead on-site teams, coordinate equipment and resources, and maintain clear communication with stakeholders throughout. Working across a diverse range of events—from global broadcasts and live concerts to high-profile corporate productions—you will uphold Delta Live’s reputation for exceptional service and technical excellence. Success in this role will mean delivering each project safely, efficiently, and with meticulous attention to detail, while building trusted relationships with clients and inspiring confidence in the teams you manage.
Specific roles and responsibilities
Client liaison & relationship management
- Lead and manage projects from initial client brief through to final delivery, ensuring technical excellence and complete client satisfaction.
- Develop and maintain strong, professional client relationships, acting as the primary point of contact throughout the entire project lifecycle.
- Take clear, detailed briefs and translate creative and technical requirements into actionable plans.
- Attend client and venue meetings, providing technical and logistical advice as required.
Project planning and resource management
- Scope, plan, and allocate all project resources, ensuring that equipment, crew, and logistics are aligned with project requirements and delivered efficiently.
- Prepare detailed project documentation, including schedules, resource plans, and production timelines.
- Coordinate with internal teams such as operations, warehouse, and logistics to ensure all resources are available, prepared, and dispatched on schedule.
- Monitor project schedules to ensure milestones and deadlines are achieved.
Documentation, budgeting, and financial control
- Prepare accurate project documentation including quotations, budgets, schedules, system designs, and risk assessments.
- Monitor project budgets to ensure cost control, accuracy, and profitability across all stages of delivery.
- Oversee invoicing and post-event reconciliation, ensuring all financials are processed in accordance with company procedures.
- Ensure all financial processes adhere to company procedures and are completed in a timely, transparent manner.
Technical delivery and on-site management
- Lead the technical delivery of events on-site, supervising Delta Live staff, freelancers, and contractors.
- Oversee the load-in, installation, operation, and de-rig of all technical systems to the highest professional standard.
- Maintain effective communication and coordination between departments and stakeholders during live operations.
- Troubleshoot and resolve issues quickly to ensure smooth event execution and client satisfaction.
Team collaboration and coordination
- Work collaboratively with internal departments, suppliers, and venue partners to ensure seamless coordination across all project phases.
- Work in partnership with the operations and warehouse teams to confirm equipment readiness, functionality, and presentation.
- Maintain clear communication with all stakeholders to ensure alignment on project objectives, requirements, and timelines.
Health, safety, and compliance
- Ensure all project activities comply with Health & Safety legislation, venue regulations, and company procedures.
- Produce and implement risk assessments and method statements (RAMS) as required.
- Promote a strong culture of safety, professionalism, and accountability across all teams and on-site operations.
Representing the company
- This role involves regular contact with customers, freelancers, and members of the public. You must be courteous at all times and represent Delta Live professionally.
- Maintain a professional standard of appearance and personal presentation.
- A positive, approachable attitude and a good sense of humour are an advantage in this role.
Skills & qualities required
Technical expertise
- Proven experience managing large-scale live event projects, ideally with a minimum of five years in a similar technical or production environment.
- Strong technical understanding of live event production, with a particular focus on audio systems and communications.
- Experience working with design and planning software such as SketchUp and/or CAD (desirable).
- Competent in Microsoft Office and general IT applications, with good digital literacy across production and scheduling tools.
- Sound knowledge of Health & Safety legislation relevant to live events, including safe working practices in live and technical environments.
Other skills and qualities required or highly desirable
- Excellent communication and leadership skills — confident, diplomatic, and solutions-focused.
- Excellent organisational skills, with the ability to manage multiple live projects simultaneously.
- Financial awareness, with the capability to manage budgets, quotations, and cost control within company procedures.
- Excellent communication and interpersonal skills, confident when liaising with clients, suppliers, and team members at all levels.
- Ability to motivate and guide teams on-site, ensuring projects are delivered safely, efficiently, and to the highest technical standards.
